  • Can I take 3 days off around Diwali and carry forward the rest of my earned leave?

  • You have 9 earned leaves left for 2026. Diwali falls on 8 Nov; 3 days from 9 to 11 Nov would leave you with 6.

  • Under section 4.3 of the leave policy, up to 10 earned leaves carry forward to 2027. So all 6 would carry over. Applications need 7 days' notice.

  • OK, apply for 9 to 11 Nov.

  • Leave request created and sent to your manager, Kavita Shah, for approval.

How it is done today

The work before the agent

The HR inbox fills with the same questions every week: how many leaves are left, whether a Saturday counts, what to submit for a medical reimbursement. Each answer means opening the handbook and the HRMS. Staff on the shop floor or in branch offices often just call someone and wait.

What the HR copilot takes on

  1. Policy answers

It answers from your handbook and policy documents, quotes the section it used and links to it, in English, Hindi or Gujarati.

  2. Personal balances

Once an employee signs in, it reads their leave balance, attendance and holiday calendar from the HRMS, so the answer is specific to that person.

  3. Requests and forms

It helps fill a leave application or reimbursement claim, checks the attachments are there and puts it into the normal approval flow.

  4. New joiner help

During onboarding it walks new staff through documents to submit, first week tasks and who to contact, using the onboarding assistant template.

How the work moves

A typical piece of work, stage by stage

  1. Step 1Employee asksTeams, WhatsApp, portal
  2. Step 2Policy foundFor their site and grade
  3. Step 3Answer with sourceClause cited
  4. Step 4Request raisedIf they want one
  5. Step 5HR or manager decidesAnything personal

Where a person decides

Leave and claims are still approved by the manager and HR, as they are today. Questions about pay disputes, grievances, health or anything personal are handed to a named HR person straight away, because those need a conversation with a person.

Limits it works within

  • Answers only from published policies and says so when a policy does not cover the case
  • Each employee sees only their own records
  • Grievances, health and pay disputes always go to a person
  • Personal data handled under the DPDP Act, with access logged
  • Cannot approve leave or change any record by itself

Questions

About the HR copilot

Will employees trust its answers?

Each answer shows the policy section it came from, so people can check it. When the policy is silent, the copilot says so and passes the question to HR.

Can it work for staff without laptops?

Yes. Factory and branch staff can use it on WhatsApp or a mobile page, in their own language.

How do you keep employee data safe?

Access follows your HRMS roles, every lookup is logged and data stays in your chosen environment. If you need help with DPDP consent and notices, TrustOS from the same group handles that.

  2. Step 2A demo of an agent working on a version of your task
