Let the agent match the routine invoices. Keep your accountant on the exceptions.

Accounts and purchase teams spend hours each day checking invoices against purchase orders, chasing approvals and answering vendors. Agents do the matching and the chasing, and every posting still goes through a person.

The work today

What slows finance and procurement teams down

Invoices arrive in every format

A distributor in Rajkot receives supplier invoices as PDFs on email, photos on WhatsApp and paper with the delivery. Someone keys each one into Tally by hand.

Matching is slow and repetitive

Each invoice is checked against the purchase order and goods receipt: quantity, rate, GSTIN, tax. Most match. Finding the few that do not takes the whole morning.

Approvals wait in inboxes

Purchase requests and expense claims sit with a manager who is travelling. Vendors call to ask about payment, and nobody knows where the file is.

Vendor onboarding is a paper chase

New vendors send PAN, GST certificate, cancelled cheque and MSME registration in pieces, over days, and someone has to check each one.

How the work flows

A typical piece of work, stage by stage

  1. Step 1Invoice arrivesEmail, WhatsApp, scan
  2. Step 2Fields readGSTIN, PO, lines, tax
  3. Step 3Matched to PO and GRNAgainst your tolerances
  4. Step 4Accountant reviewsExceptions with reasons
  5. Step 5Draft posted in TallyAfter approval

Where a person approves

The decisions that stay with your team

  1. Every posting to the books

The agent prepares a draft voucher. An accountant approves before anything is posted, so responsibility for the ledger stays exactly where it was.

  2. Mismatches and new vendors

Rate or quantity differences beyond your tolerance, and invoices from vendors not yet in the master, go to a named person with the reason shown.

  3. Payments

The agent never releases a payment. It can prepare a payment list for the finance head to approve in your banking system.

Questions

From finance and procurement teams

Does the agent post directly into Tally?

Only as a draft, and only if you want that. Most teams start with the agent preparing the entry and an accountant approving it, then decide later what, if anything, can go straight through.

What tolerance does it use?

Yours. You set the rate, quantity and rounding tolerances per vendor or category, and the agent flags anything outside them.

Can it read photos of invoices?

Yes, in most cases. Photos taken at an angle or in poor light are harder, and the agent says when it is unsure of a number.

We use SAP Business One, not Tally.

That works too. SAP Business One, Zoho Books and most ERPs with an API or a database we can reach can be connected. Our team builds the connector if one does not exist yet.
