Purchase orders, invoices and shop floor questions, handled with less chasing
Most factories and distributors lose hours to matching paperwork: supplier invoices against purchase orders and goods received notes, quality reports against specifications, dispatch documents against orders. AI reads these documents, spots mismatches and helps supervisors find the right SOP quickly. People still approve payments, quality holds and anything that changes production.

Where agents help
Five places to start in manufacturing
Three-way invoice matching
Invoice matching agentSupplier invoices are matched to the purchase order and the GRN in Tally or your ERP. Clean matches are queued for posting, and price or quantity differences go to the purchase team.
Vendor onboarding
Document extraction agentNew suppliers send GST certificates, PAN, bank details and MSME registration. The agent reads them, checks they agree with each other and prepares the vendor record for approval.
Purchase approval follow-ups
Approval reminder agentRequisitions waiting on a plant head or the accounts team are tracked, and reminders go out on email or WhatsApp before a line stops for want of material.
SOP and machine manual lookup
Research assistantA supervisor asks how to change over a die or what the torque setting is, in English, Hindi or Gujarati, and gets the answer from your own manuals with the page reference.
Dealer and distributor queries
Sales copilotOrder status, dispatch dates and price list questions from dealers are answered from your ERP, and new orders are drafted for the sales coordinator to confirm.

An example scenario
A distributor in Rajkot matching supplier invoices
A pump and motor distributor receives around a hundred supplier invoices a week as PDFs and photos. Two accountants match each one to its purchase order in Tally by hand. An agent reads each invoice, finds the matching PO and goods receipt, and posts a match list for review. The accountants now spend their time on the ones that do not match: a changed rate, a short supply, a missing GRN.
Illustrative example. It describes no real customer.
Data and rules to respect
- Invoices, e-way bills and e-invoices are GST records. The agent reads and checks them but does not change what is filed without an accountant's approval.
- Employee, dealer and supplier contact details are personal data under the DPDP Act, so access is limited to the teams that need them.
- Drawings, formulations and customer specifications are confidential. On premise or private cloud deployment keeps them off shared systems.
- Safety instructions come only from approved SOPs. If a manual does not cover a question, the agent says so and refers it to the supervisor.
A plain summary for general guidance. Your counsel gives legal advice and decides how these apply to you.
Questions
From manufacturing teams
Does it work with Tally?
Yes. AksharAI connects to Tally and to common ERPs such as SAP Business One and Zoho Books through their APIs or data exports. If your setup is unusual, our team builds the connector on 2good terms.
What happens when an invoice does not match?
It is not posted. The agent records the difference, such as a rate change or a short quantity, and sends it to the person who owns that supplier to decide.
Can shop floor staff use it without a computer?
Yes. Agents can be reached over WhatsApp, a mobile app or a tablet on the line, and can answer in Hindi or Gujarati where your documents support it.
