AI for Tally users: what an agent can and cannot do

A practical guide for accounts teams on Tally Prime: which tasks suit an agent, how it connects, and why the accountant still approves.

Where the time goes in a Tally team

Take a pharmaceutical distributor in Rajkot with a three person accounts team on Tally Prime. Their week looks familiar:

  • Forty to sixty supplier invoices a day, arriving as PDFs, WhatsApp photos and paper.
  • Each one keyed in as a purchase voucher, after checking it against the purchase order and the goods receipt.
  • Month end GST reconciliation: downloading GSTR-2B, exporting the purchase register and matching them in Excel.
  • Customers asking for ledger statements and outstanding balances, on the phone and on WhatsApp.
  • The owner asking for a quick view of receivables, which takes an afternoon to prepare.

None of this is difficult. All of it takes time, and most of it involves copying information from one place into another and checking it. That is the kind of work an agent can help with.

What an agent can do well

Read documents and prepare entries

An agent can read a supplier invoice, pull out the GSTIN, invoice number, items, quantities, rates and tax, find the matching purchase order and goods receipt, and prepare a draft purchase voucher. Where everything matches within your tolerances, the accountant approves in seconds. Where something differs, the agent shows exactly what and why. See the invoice matching agent.

Reconcile and explain differences

An agent can compare the purchase register with GSTR-2B data, group the differences (missing from 2B, amount mismatch, filed late by the supplier) and draft a polite reminder to each supplier, ready for your team to send. The finance copilot does this kind of work.

Answer questions from the books

"Which vendors have not been paid for over sixty days?" "What did we buy from our largest polymer supplier this quarter?" An agent with read access to Tally can answer such questions in plain language, with the rows behind each answer.

Prepare statements and summaries

Ledger statements for customers, a short receivables note for the owner, a month end summary of what changed. Each drafted from Tally data for a person to check and send.

What an agent should not do on its own

  • Post entries without approval. Every voucher waits for the accountant, so responsibility for the books stays where it was and the auditor sees a clear trail.
  • Make payments. At most it prepares a payment list for the finance head to approve in your banking system.
  • Change masters. New ledgers, vendor bank details and GST registrations are changed by a person, after checking.
  • Decide on tax treatment. It can flag that a rate looks unusual. A qualified person decides.

These limits are set as action boundaries in AksharAI, so they hold even if someone asks the agent to do otherwise.

How an agent connects to Tally

Tally Prime can exchange data with other software through its XML interface over HTTP, and through ODBC for reading. In practice, the connection usually works like this:

  • A small connector runs on the machine or server where Tally runs, with Tally's integration port enabled.
  • The agent reads masters (ledgers, stock items, vendors), purchase orders and vouchers it needs.
  • Where you allow it, the agent prepares vouchers that a person reviews before they are saved, or saves them in a form your team checks before finalising.

Every Tally setup is a little different: versions, TDL customisations, multiple companies, remote access. Our team checks your setup in the first call and builds the connector on the project. Connecting an agent to Tally, Zoho and your ERP covers the general approach in more depth.

Practical points from the first weeks

  • Clean the vendor master first. Duplicate vendors and missing GSTINs cause more mismatches than any model error.
  • Agree tolerances in writing. For example, rate within one rupee of the PO, quantity within the received quantity, rounding within ten paise.
  • Decide what happens to photos. WhatsApp photos taken at an angle are readable more often than people expect, but not always. Low confidence reads go to a person.
  • Keep the accountant as the approver. Adoption is much easier when the person who signed off before still signs off now.

Checking whether your team is ready

A good first project for a Tally team has clear inputs (invoices), a clear right answer (the PO and GRN), and a person who already approves. If that describes your accounts desk, try the agent readiness check on it, or the hours saved calculator with your own volumes.
